Course Booking Terms and Conditions

1. Booking  

Prior to booking on to the course, please ensure you have read the course content, and these terms and conditions, in full to ensure the course will meet your training needs and that you are able to meet pre-requisites, where stated. Please don't hesitate to contact our team if you have any queries before booking. If you require alternative formats (such as large print), please contact us via email at bookings@thearchinitiative.com .


Acceptance of a booking by TAI (NW) Ltd t/a The Arch Initiative (hereafter referred to as TAI) brings into existence a legally binding contract between us on these terms and conditions. Any term sought to be imposed by you in any purchase order or correspondence will not form part of the contract, unless otherwise agreed by way of written response.


2. Payment Terms  
Our standard payment terms are that payment is taken on invoice, and must be received prior to the course start date to the bank details stated on the invoice and quoting the reference number we have provided you. Payment must be made no later than 1 day prior to the course start date and where payment is made via invoice, the place cannot be guaranteed until cleared funds have been received and will be subject to continued availability.  

Should we no longer have a place, delegates will be booked on the next available event date.  

Payments must be made in pounds Sterling.  

 
3. Course bookings  
Bookings may only be made via the TAI website or by emailing bookings@thearchinitiative.com. Bookings must be  
accompanied by the submission of full delegate details and contact information
.  

 
4. Replacement or substitution of delegates  
Where a delegate booked on the course is unable to attend, a replacement delegate may take their place without incurring further fees, provided we are notified no later than 24 hours prior to the course start date. You must notify us in writing, via email to bookings@thearchinitiative.com. At our discretion we may charge an administrative fee for this, that will be no more than £15 + vat.  

 
5. Transfer of booking  
Booking transfer requests must be made in writing. Changes will only come into effect on the date of written confirmation being received. Where delegates request transfer to a later course, the following will apply: 

  • 29 calendar days or more  - No charge  
  • Between 15 and 28 calendar days (inclusive) 25% of registration fee.  
  • Between 1 and 14 calendar days (inclusive) 50% of registration fee.  

Delegates are only allowed one course transfer or substitution per booking. After this, the full fee will be charged. All transfers must be taken within six months of the original booking date.  

 
6. Cancellations  
All cancellations
must be made in writing. Changes will only come into effect on the date of written confirmation being received. Should circumstances mean that you have to cancel your course and are unable to transfer your booking to another date at the time of cancellation, the following charges will apply at the discretion of TAI: 

  • 29 calendar days or more full refund minus an admin fee of £10 + vat 
  • Between 15 and 28 calendar days (inclusive) 50% of course cost refund less an admin fee of £10 + vat  
  • Between 1 and 14 calendar days (inclusive) no refund will be given.  

 
7. Non-attendance  
If you do not attend a course, and you have not previously informed us of this, the full course fee remains payable.  

 
8. Late arrivals/missed sessions  
If you arrive late for a course or are absent from any session, we reserve the right to refuse to accept you for training if we feel you will gain insufficient knowledge or skill in the time remaining and will disturb the flow of the course for other attendees. In all such cases, the full course fee remains payable. Tutors will endeavour to ensure that you have access to all resources from the session you have missed.

 
9. Unforeseen circumstances  
On occasion, unforeseen circumstances may require us to cancel a course. In such circumstances you will be given as much notice as possible and either a free transfer to another course date or a full refund of fees paid. We reserve the right to amend or change the date and/or venue for the course. Any such changes will be advised to delegates no later than seven days before the start date, where possible. 


10. Extenuating Circumstances  
If delegates are unable to attend any course due to extenuating circumstances, TAI must be informed in writing as soon as possible and may at its sole discretion offer the transfer to another course, or a refund of fees (subject to the terms of paragraphs (4) and (5) above), subject to suitable evidence being provided, for example a doctor’s note if this is due to illness. 

 
11. Force Majeure 

TAI shall not be liable to refund of fees or any other penalty should courses be cancelled due to war, fire, strike, lock-out, industrial action, tempest, accident, civil disturbance or any other cause whatsoever beyond their control.  


12. Access to Remote Learning

It is the sole responsibility of the delegate to ensure that they have suitable access to ICT equipment required for a full remote learning experience where courses are delivered remotely.  


13. VAT and Fees
All course fees are subject to the current VAT (valid exemptions only).  Fees will cover all costs of any resources and materials required for the course.


14. Entire Agreement  
These terms and conditions, together with the current TAI website prices, course details and TAI contact details, constitute the whole of our agreement  relating to the supply of the course and associated materials and services to you by TAI. These terms and conditions cannot be varied except in writing signed  by a Director of TAI and at their sole discretion. In particular, no terms and conditions incorporated within your purchase order and nothing said by any person on behalf of TAI should be understood as a variation of these terms and conditions or as an authorised representation about the nature or quality of any good s or services offered for sale by TAI. TAI shall have no liability for any such  representation being untrue or misleading.
